Operations Administrator

ABOUT THE ROLE

The Operations Administrator keeps the day-to-day engine of the business running smoothly. This role owns the financial and operational admin functions; invoices, supplier relationships, freight, bank reconciliations, and the systems that hold it all together. It suits someone who is highly organised, trustworthy with numbers, and comfortable working independently across a range of responsibilities.

KEY RESPONSIBILITIES: 

Finance & bookkeeping

– Process and manage incoming and outgoing invoices
– Perform bank reconciliations and maintain accurate financial records
– Liaise with the external bookkeeper for end-of-month reporting
– Assist with payroll processing as required

Operations & admin

– Oversee day-to-day business operations and administrative tasks
– Manage freight coordination and logistics
– Handle wholesale enquiries and follow-up
– Manage supplier communications and relationships

Systems & process

– Maintain and manage key business software and internal systems
– Identify operational issues and resolve or escalate as needed
– Support process improvements as the business grows

Skills & attributes

– Comfortable working with numbers and financial administration
– Highly organised with strong attention to detail
– Trustworthy and discreet; able to handle confidential business information
– Self-directed and reliable; able to manage priorities independently
– Clear communicator with suppliers and internal stakeholders
– Experience with bookkeeping software (Xero) an advantage
– Payroll experience a bonus, but not essential
